Introduction

Finca Metrics ("Finca Metrics," "we," "us," or "our") is operated by KrisCodes2 LLC. This page tells you what information we collect, how we use it, and how we keep it safe when you use our tool at https://fincametrics.com and any related services.

By using Finca Metrics, you agree to the collection and use of information in accordance with this policy. If you do not agree with this policy, please do not use our services.

Information We Collect

Account Information

When you create an account, we collect your name, email address, and phone number.

Business Records

To provide our services, we collect and process sales and transaction records synced from your Clover POS, employee schedules and timesheets, recipes and ingredient costs, and expense records.

Receipt Images

When you use our AI receipt scanning feature, we collect and process photographs of receipts you upload.

Location Records

If you use our GPS clock-in feature, we collect your device location at the time of clock-in and clock-out to verify you are within the authorized geofenced area.

Payment Information

We collect payment information necessary for billing and subscription management. Payment processing is handled by third-party payment processors.

Usage Answers

We collect information about how you interact with Finca Metrics, including pages visited, features used, and time spent on the platform.

How We Use Your Information

We use the information we collect to provide, maintain, and improve the Finca Metrics platform; process receipt images using AI to extract and categorize expense records; generate answers, reports, and business insights; send notifications related to your account and business operations; improve the platform and develop new features; respond to support requests and communicate with you about the service; and detect, prevent, and address technical issues and security threats.

Clover POS Records

When you install Finca Metrics from the Clover App Market, you grant us access to specific merchant records via OAuth. We enumerate every scope we request and the narrow purpose we use it for below.

• MERCHANT_R — We read the merchant profile (business name, address, owner email) to identify which of your locations you are looking at in Today and to correlate multi-location owners under one Finca Metrics account.
• ORDERS_R — We read order history to produce revenue reports, line-item profitability, and per-employee sales attribution.
• PAYMENTS_R — We read payment records to reconcile reported revenue against actual processed payments and detect discrepancies.
• EMPLOYEES_R — We read the employee roster to attribute staffing costs to the correct team member and produce the payroll reconciliation report.

OAuth tokens are stored encrypted at rest in AWS and retained for the life of your tool install. If you uninstall the tool from the Clover App Market, we stop all background syncs immediately and permanently purge the tokens and derived records within 30 days unless you reinstall.

We never sell, rent, or share your Clover merchant records with any third party for advertising, answers, or resale. The four providers listed in the section above are strict processors bound by record-processing agreements.

Our use of the Clover API follows the Clover App Market Developer Agreement and Clover Record Governance requirements. For questions specific to Clover-sourced records, email privacy@fincametrics.com.

AI Processing

Finca Metrics uses Anthropic Claude for AI-powered receipt scanning. When you upload a receipt image, it is sent to Anthropic's API for text extraction and categorization. Anthropic does not store your receipt images beyond the time required to process them. The extracted text records are stored in your Finca Metrics account.

AI processing is used solely to provide the receipt scanning service. We do not use your receipt records to train AI models.

Third-Party Service Providers

We use the following third-party service providers to operate Finca Metrics:

• Amazon Web Services (AWS) — Hosting, record storage (S3, DynamoDB), and database services. All records are stored in the AWS us-east-1 region.
• Anthropic — AI-powered receipt scanning via the Claude API. Receipt images are processed and not retained by Anthropic.
• Clover POS — Point-of-sale record synchronization. Sales, transactions, and product records are pulled from your Clover account with your authorization.
• Google — Calendar integration and Google Business Profile integration for scheduling and business management.
• Email and push notification providers — Used to deliver email alerts, reports, and push notifications for account events and communications.

How We Share Your Information

We do not sell your records. We share them only with vetted providers (Stripe, AWS, Anthropic, Google) strictly to run the service, or if legally required.

Data Retention

We retain your data for as long as your account is active or as needed to provide you with our services. If you request deletion of your account, we will remove your personal data within 30 days. Backup copies will be purged within 90 days of a deletion request.

Certain records may be retained longer if required by law or for legitimate business purposes such as resolving disputes or enforcing our agreements.

Record Security

Records are stored in AWS DynamoDB and S3 with encryption at rest and in transit. Access is limited to authorized operators using IAM roles.

Your Rights

You can access, export, or delete your records at any time from Settings or by contacting support. You can cancel your subscription from the customer portal.

California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA): the right to know what personal information we collect, use, and disclose; the right to request deletion of your personal information; the right to correct inaccurate personal information; the right to opt out of the sale or sharing of personal information; and the right to non-discrimination for exercising your privacy rights.

EU Residents (GDPR)

If you are a resident of the European Union, you have additional rights under the General Data Protection Regulation (GDPR): right of access to your personal records; right to rectification of inaccurate records; right to erasure (right to be forgotten); right to record portability; right to restriction of processing; and right to object to processing.

Cookies and Tracking

Finca Metrics uses essential cookies only for authentication and session management. These cookies are necessary for the platform to function and cannot be disabled.

We do not use third-party advertising cookies. We do not serve ads on our platform. Any usage answers we collect are used solely for service improvement and are not shared with advertisers.

Children

The service is for businesses, not children. We do not knowingly collect information from anyone under 13.

International Record Transfers

Your records are processed and stored in the United States, specifically in the AWS us-east-1 region. If you are accessing Finca Metrics from outside the United States, your information will be transferred to, stored, and processed in the United States.

For international users, we rely on standard contractual clauses and other appropriate safeguards to ensure your records are protected in accordance with applicable data protection laws.

Do Not Sell My Personal Information

We do not sell your personal information. We do not share your records for cross-context behavioral advertising. Your records are used solely to provide and improve the Finca Metrics service.

Changes to This Policy

We may update this policy as the product evolves. When we do, we will update the "last updated" date and, for material changes, notify account owners by email.

Governing Law

This Privacy Policy is governed by the laws of the Commonwealth of Puerto Rico, without regard to conflict of law principles.

If you are in the EU or California, you have additional rights under GDPR and CCPA including the right to know, right to delete, right to opt-out, and right to non-discrimination. Contact us to exercise them.
